SalesTrak Contacts

The Contacts form is used to add and maintain prospect contact information. This form accessed from the Prospect Entry, or Account Prospect Entry forms.

Create Contact

1.Select the SalesTrak module.

2.From the Transactions menu group, select either Account Prospect Entry or Prospect Entry.

3.Right click in the contact grid on either of these forms and select Add Contact.

4.Complete the contact information as required.

5.Click the BTN_Save icon to save the record.

 

Edit Contact

1.Select the SalesTrak module.

2.From the Transactions menu group, select either Account Prospect Entry or Prospect Entry.

3.Right click on the contact you want to edit and select Edit Contact. (You can also double-click inside the grid anywhere on the contact line of the contact you wish to edit to open the Contacts form.)

4.Edit the contact information as required.

5.Click the BTN_Save icon to save the record.

Field Descriptions

Name

Description

BTN_ContactLetter

Click the Contact Letter icon  to open MS Word with the letter wizard opened and loaded with the information on the currently loaded contact.

BTN_PhoneDialer

The Phone Dialer icon  will open the Phone Dialer with the phone number of the currently loaded contact pre-loaded.

BTN_ReSync

The Re-Sync Address icon will re-populate the contact address information with the address from the prospect header record.

Contact Number

This field displays the system-generated contact number. This field cannot be changed.

Contact Information

 

Contact Type

This field indicates the contact type (i.e. 1 = first contact, 2 = second contact, etc.).

Last Name

Enter the last name of the contact.

First

Enter the first name of the contact.

Salutation

Enter the salutation (i.e., Mr, Ms., etc) for this contact.

Title

Enter the contact's title within the company (i.e., V.P. Sales, etc.).

Email

Enter the contact's e-mail address. Click on the address to send an e-mail to this contact.

Auto Email

Check the box if emails should be sent automatically to the listed email address.

Auto Fax

Check the box if faxes should be sent automatically to this contact.

Address Information

When you add a new contact from an existing prospect, the information in the following fields default from the prospect entry information. The defaults can be changed as required.

Company

If this is an account prospect, this field displays the name of the company. If this is a prospect contact, the name from the origin Name/Alpha field in Prospect Entry is displayed.

Address 1

This field displays the first line of prospect's address.

Address 2

This field displays the second line of prospect's address.

City, State, County & Zip

The address fields from Prospect Entry screen for this contact’s company, or origin information are displayed in these fields.

Phone Information

When you add a new contact from an existing prospect, the primary phone number defaults from the prospect information. The phone number can be changed as required. Additional phone numbers can also be entered in the phone information grid.

Notes

Use the Notes field to enter any addition information that is specific to this contact record. These notes are used for reference purposed only and will not appear on any other screen or report.

Update Info

This section contains fields maintained by the system indicate the last user/date who changed the record and the date when it was created.
