MoversSuite Administration > Customer Service > Tasks Setup
Use this setup to define the task records available within MoversSuite. Both Task Definition and Task Groups are defined within this setup, along with all the individual task, or to-do items.

Task Definition Name |
Enter the name of the Task Definition record (up to 25 characters). Users will assign this value to orders and claims through Task Definition field (refer Task Assignment and Regeneration). Customer Web Portal users will access orders based on this setting. See Customer Web Portal Setup and Administration for more information. | ||||||||||||||||

Account |
Select an account from the list of records defined within Account Setup. The account set here provides the header information that displays within the Customer Web Portal. See Customer Web Portal Setup and Administration for more information. | ||||||||||||||||

Module |
Select “Claims” to allow this record to be available within the Claims module. Select “Order Information” to allow this record to be available within all non-Claims modules.
Note: The application will set the Identifier for the record to the Claim Number or Order Number depending this setting. The Identifier is visible within both the Tasks and Workflow tabs.

Contact |
Enter the name or title of the contact person for the selected account (up to 30 characters). | ||||||||||||||||

Address |
Enter the street address of the contact for the selected account, if applicable (up to 256 characters for each line). | ||||||||||||||||

City |
Enter the city of the contact for the selected account, if applicable (up to 26 characters). | ||||||||||||||||

State |
Enter the state of the contact for the selected account, if applicable (up to 2 characters). | ||||||||||||||||

Country |
Enter the code of the contact for the selected account, if applicable (up to 3 characters). | ||||||||||||||||

Postal Code |
Enter the postal code of the contact for the selected account, if applicable (up to 10 characters). | ||||||||||||||||

Phone |
Enter the phone number and extension for the account contact of this record. | ||||||||||||||||

Memo |
Enter a note used internally within MoversSuite Administration (up to 60 characters). | ||||||||||||||||

Task |

|
Use this section to define the individual tasks that the application will generate when an order is assed to this particular Task Definition record. These records will display within the Tasks and Workflow tab as well as on the Task List Report. Additional information pertaining to this setup can be found within the Add Task topic. | |||||||||||||||||

Task Description |
Enter the name used to identify a particular task (up to 60 characters). Values created here will be available displayed in the Task tab and module. | ||||||||||||||||

Due Days |
Enter the number of days (0 – 999) that will be added to or subtracted from the Dependency Date or the due date associated to a Dependency Task to determine the scheduled due date of task completion. A value of 0 (zero) indicates that the Dependency Date or the due date associated to a Dependency Task itself is the due date of task completion; Due Type will be ignored in this case. | ||||||||||||||||

Due Type |
The application will compute the task due date as the number of Due Days Before or After the selected Dependency Date or the due date associated to a Dependency Task.
Note: Due Type is ignored when the Due Days field is set to 0 (zero).

Active |
The Active flag instructs the application to allow the task to be accessible within MoversSuite (checked) or not available (unchecked). Tasks with this flag unchecked do not appear within MoversSuite. | ||||||||||||||||

Responsible Role |
Assign the task item to a person assigned to a particular role on the order or claim, such as the Transportation Coordinator. The application automatically assigns this person, when set as this role on the order, as the one responsible for completing the task.
The following table lists the roles available to assign to a task. The Responsible Role links to specific Labor Types assigned to a user through their Personnel Setup record.

Responsible User |
Define the default person (responsible party) assigned to a task to a specific user. This is a specific user defined within Personnel Setup (only those with a Status of “ACTIVE” and have at least one Labor Type assigned to them are available in the drop-down menu for this field. If this person is not assigned to the branch of the order (Assigned Branches setting in Personnel Setup), then they will not automatically be set as the task user when the Task Definition is set. | ||||||||||||||||

Dependency Date |
Select a date type to base the task due date on. The application will generate a due date for tasks from the dependency date set for the order. If the Dependency Date is “Load Date,” for example, the task due date will be the number of Due Days before or after the Load Date set within Move Information. See Task Dependency Dates section for a listing. Setting this field to Completion of Other Task enables the Dependency Task field for entry. | ||||||||||||||||

Dependency Task |
If you wish to have a due date of a task be based on the due date of another task when the other task completes, then set the Completion of Other Task option within the Dependency Date field and choose from a list of other task items. The application computes the due date as the number of Due Days before or after the due date set for the selected Dependency Task (depending on Due Type) once the Dependency Task is marked Complete. | ||||||||||||||||

Priority |
Default a priority to one defined within Task Priority Setup. This value assists those working within the Tasks and Workflow tabs by providing an extra column to group, sort, filters, etc. data. | ||||||||||||||||

Task Group |

Use this section to define a subset of a Task Definition for narrowing search results and for defining store rollout in Special Services. | |||||||||||||||||
|
Name |
Create a description for the group within this field (up to 20 characters). The name value will be accessible through the Task Group field in MoversSuite and can used as a company profile for Customer Web Portal access. The Task Group is considered a roll-out specification for Store information from Special Services and the Customer Web Portal and it is a key search option. The group name is set for an order within Name, Address, Phone, Contacts and Locations, or within Claims. The Find command references the Task Group within the Store Information tab and is the primary search option within the Tasks screen.
IMPORTANT: Duplicate group names will appear multiple times as menu options for the Task Group field, therefore if two different Task Definition records contain the same group name, such as “Household Goods”, for example, then the option will be repeated within the Task Group drop-down menu. Further, complicating matters is that the Task Group selector lacks controls to sort its display.
Create unique Task Group names that associate well to the particular Task Definition to which they belong in order avoid the duplicity issue. | ||||||||||||||||
Use the Task List report to view and confirm all active tasks by Profile (Task Definition) or Coordinator Type.
